Reserve a Class or Meeting Space

Select spaces in the Hesburgh Library are available for meetings sponsored by other campus departments and organizations. While we are glad to provide this service, this is a secondary activity for us, and we are not able to offer the same services and equipment that are available from other dedicated space venues on campus.

Reservation requests from the following groups will be considered:

  1. Notre Dame academic and administrative units
  2. Officially recognized Notre Dame student groups
  3. Outside organizations providing services on behalf of a Notre Dame initiative

After reviewing the guidelines and space options below, please use the Reserve a Class or Meeting Space form to make your request, and it will be routed to the appropriate contact person. After you submit your reservation request, you will receive a response at the email address provided in your form submission within three business days.

General Room Use Guidelines

  1. Study and Research Priority: Maintaining an environment conducive to study and research is our priority. The Reservation Team reserves the right to refuse requests that will significantly disrupt patrons.
  2. Reading Days and Final Exams: No reservation requests are accepted during Reading Days or Final Exams.
  3. Advance Notice: We may not be able to respond to or process reservation requests made fewer than three business days in advance.
  4. 15-Minute Buffer: 15 minutes will automatically be added to the start and end time of your reservation request. If you need more time for setup/cleanup, please consider that when entering your start and end times.
  5. Recurring Meetings: Spaces are available for one-time meetings, not extended scheduling, recurring class sessions, or meetings.
  6. Fundraising Requests: We will consider requests to use spaces for fundraising sales by Notre Dame organizations and affiliates on a case-by-case basis.
  7. Public Performance Rights: We require proof of public performance rights for film or video screening requests.
  8. Room Setup:
    1. Many of the classrooms do not have standard configurations. Please plan to arrange the room ahead of your meeting/class.
    2. Do not pull additional tables or chairs from another classroom or working space.
    3. If you need a whiteboard, you can grab a movable whiteboard from the surrounding area; please return it to that area when you are finished.
  9. Room Cleanup:
    1. When your session ends, you may leave the furniture in the configuration used by your group.
    2. Please clean any whiteboards or whiteboard walls after your meeting or class.
    3. Please wipe down tables before you leave.
  10. Supplies:
    1. Classroom supplies are replenished every weekday morning.
    2. Should you need additional dry-erase markers or erasers during your reservation, they are available upon request during business hours at the 1st Floor Circulation Desk.
  11. Code of Conduct:
    1. All reservation attendees will follow the Library Code of Conduct.
    2. Alcohol is not permitted where undergraduate students are present.
    3. On rare occasions, University leadership may request to serve alcohol for special events in accordance with Indiana state law and University policy.
  12. Technology Support:
    1. Please contact the Hesburgh Libraries Support and Solutions Analysis Department with technology-related questions, problems, suggestions, or comments.
      1. Weekdays, 9:00am – 5:00pm: Call 574-631-3940
    2. Four laptops are available for checkout on a first-come, first-served basis at the Circulation Desk if a patron needs one for their session.

This space may not be reserved for standard meetings. Contact rarebook@nd.edu to learn if you are eligible for space usage.

Carey Auditorium

The Carey Auditorium is managed by the Office of the Registrar. View more details in the EMS room request system.

Fr. Hesburgh's Office

Requests for tours of Fr. Hesburgh's office on the 13th Floor are managed by the Office of Mission Engagement and Church Affairs.

Mahaffey Family Presidential Suite

Requests for the Mahaffey Family Presidential Suite (14th Floor) are managed by the Office of the President. This space is reserved for select University functions and is not available for personal or group tours.
