Interlibrary Loan
Overview
- Students, faculty, and staff at the University of Notre Dame with a valid NetID and password may use Interlibrary Loan to request materials from other institutions.
- Submit Interlibrary Loan requests using the request form. Requests are not accepted in any other format.
- Materials received electronically will be delivered through our online service. You will receive an email message when the items can be retrieved with your login.
- Physical materials will be available as soon as they are received from our lending partners, processed, and ready for pick-up.
- Hesburgh Libraries cannot place Interlibrary Loan requests for materials to be used for course reserve, class, or other group use.
- The following kinds of materials are not ordinarily obtainable from other libraries: complete issues of unbound periodicals, complete volumes of bound periodicals, reference books or rare books, materials that are difficult or expensive to pack or ship, ebooks, textbooks, and archival materials.
- Lending libraries may also restrict access to A/V materials. As a result, DVDs, CDs, and audiobooks may be difficult to source.
- If the requested content is available online through the Libraries' electronic resources or openly available on the internet, we will direct you to those sources rather than borrowing a physical item from another library. This includes ebooks, journal articles, and digitized editions of historical materials.
Accessing Requested Material
- We will send an email notification when requested materials are ready.
- Faculty can request for books to be delivered to their preferred library or campus departmental mailbox.
- Graduate and undergraduate students can request that books be delivered to their preferred library for pick-up.
- All patrons may designate another individual to pick up interlibrary loan materials on their behalf. Add the full name of that individual to the Authorized User field in the ILL User Information form.
- Articles and book chapters will be delivered electronically.
- Loans that arrive in microtext format (film or fiche) can be retrieved from the Hesburgh Libraries Circulation Desk and must be used in the Microtext area of Hesburgh Library (Lower Level) where film and fiche readers and copiers are located.
- In certain cases, the lending library requires us to designate an item as “In-Library Use Only” depending on format, age and condition of the material. The notification email you receive when the item arrives will indicate if an item is marked for in-library use. These materials can be picked up at the Circulation Desk located on the first floor of the Hesburgh Library. Circulation desk hours may be found here. Items must be used inside Hesburgh Library and returned to the Circulation desk before it closes on the same day.
Processing Times
Requests are handled Monday through Friday. Expect the following standard processing times:
- Standard book request: 7 days
- Standard article or book chapter requests: 24 to 48 hours
We can process requests more quickly if you provide an ISBN for books (10 or 13 digit number) or an ISSN for journal articles (8 digit number) and complete, accurate citation information.
Renew
You can request renewals using the online Interlibrary Loan service before the item’s due date. In your Interlibrary Loan listings, view your “Checked out items” list and use the renewal link. If the Renew Request link is not available, it is because of the material format or the lending library's policies, and the item cannot be renewed. Note: Renewals must be done before the due date. If the due date has passed, you must contact the ILL office staff for a renewal. Renewals are not guaranteed.
Return
Interlibrary Loan materials must be returned to the Library and should not be sent through campus mail. Material returned through campus mail and lost is your responsibility.
Copyright Information
NOTICE CONCERNING COPYRIGHT RESTRICTIONS:
The copyright law of the United States (Title 17 U.S. Code) governs the making of photocopies and other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement.
This institution reserves the right to refuse to accept an interlibrary loan request if, in its judgment, fulfillment of the order would involve violation of copyright law.

Financial Responsibility
- The average Interlibrary Loan costs a minimum of $25 plus whatever the lending library charges. The Hesburgh Libraries provides this service free-of-charge to members of the Notre Dame community with a valid NetID and password. The borrower, however, has the responsibility to return items on time and in the same condition as when the loan was received. If you, as a borrower, abuse this responsibility, you jeopardize future interlibrary loan transactions with other libraries.
- If an item is not returned to us, there are replacement, processing, and late fees that will be charged to your library account.
- If a borrower regularly abuses Interlibrary Loan responsibilities, our staff reserves the right to suspend the borrower's privileges.
